Small community events rarely begin with one clean plan. The useful details are usually scattered across venue emails, a ticket page, volunteer messages, supplier notes, a spreadsheet, and somebody's memory.
AI can help compress that mess, but it should not quietly invent a door-opening time, accessibility promise, emergency procedure, volunteer responsibility, or refund rule just because the final document looks incomplete.
The useful role is narrower: organize verified event facts into formats people can actually use on the day.
In about 45 minutes, you can build four practical assets: a master run sheet, volunteer role cards, an attendee FAQ with an escalation path, and a short day-of communication kit.
Capability check — August 18, 2026: OpenAI says ChatGPT Projects are available across free and paid plans and can keep chats, files, and project instructions together; Free projects currently allow fewer files than paid tiers. OpenAI's current Free Tier FAQ also lists web search, file uploads, and data analysis, subject to usage limits. Google says NotebookLM can work from selected sources including PDFs, Word files, text, web URLs and other supported formats; standard access currently allows up to 50 sources per notebook and 50 chats per day. Features and limits can change.
Before you start: build a source pack, not a memory dump
Use only documents that are current and relevant to this event:
- the approved event brief;
- venue confirmation and access instructions;
- public event page or ticket description;
- final schedule or speaker list;
- volunteer roster without unnecessary personal details;
- supplier or catering confirmations;
- accessibility information supplied by the venue or organizer;
- approved contact and escalation details.
Remove private attendee lists, payment details, full home addresses, medical information, passwords, door codes, personal phone numbers that do not need to appear in the working document, and any other sensitive material your group is not authorised to process in the AI service.
Give every important source a date or version label. A beautiful run sheet generated from last month's draft is still the wrong run sheet.
1. Turn scattered notes into one verified master run sheet
Outcome: A chronological event timeline showing what happens, when, where, who owns it, and what still needs confirmation.
Best fit: Meetups, workshops, charity events, community classes, small conferences, club events, school-community activities, and volunteer-run gatherings.
Inputs and tools: The approved event brief, venue confirmation, final schedule, supplier confirmations, and a spreadsheet or document. NotebookLM is useful when you want to work from a selected source pack; ChatGPT Projects can be useful when you want the same event files and instructions available across several planning chats.
Steps
- Add only the current event sources.
- Ask the AI to extract every time-bound activity: access, setup, deliveries, volunteer arrival, doors, sessions, breaks, teardown, and venue exit.
- Require a source beside every time and location.
- Add an
OWNERfield only when a person or role is explicitly assigned. - Use
NOT CONFIRMEDwhen the sources disagree or omit an important fact. - Sort the result chronologically and manually compare it with the venue booking and public event page.

Using only these selected event sources, create a chronological master run sheet with columns for time, activity, location, owner, dependency, source, and status. Preserve times exactly. If two sources conflict, show both values and mark CONFLICT. If an owner, location, or time is missing, write NOT CONFIRMED instead of guessing. Do not create emergency, accessibility, refund, security, or venue rules that are not stated in the sources.
Time and cost: About 12 minutes for a small event. A free text-capable AI tool plus a spreadsheet can be enough; file and source features are convenient rather than required.
Privacy, accuracy, and copyright limits: AI can merge two different versions of a schedule into one plausible but false timeline. Check the final run sheet against the latest venue and public-facing source. Do not upload attendee databases, private contact lists, or licensed venue documents unless you are authorised to process them there.
2. Convert the run sheet into volunteer role cards
Outcome: One-page instructions for each volunteer role so people know where to be, what they are responsible for, and when to escalate instead of improvising.
Best fit: Events using a small team of volunteers who may join only on the day and do not need the full planning history.
Inputs and tools: The verified run sheet, approved role assignments, venue map or public access information, and the organizer's escalation contacts.
Steps
- List the roles that actually exist: registration, room host, speaker support, refreshments, accessibility contact, photographer, teardown, or others relevant to your event.
- For each role, pull only the activities assigned to it in the verified run sheet.
- Add arrival time, first location, handoff points, equipment, and finish condition.
- Add a short
DO NOT DECIDE ALONEsection for issues that must go to the event lead. - Keep personal phone numbers out unless the owner has agreed to distribute them; prefer role-based or event contact details where available.
- Ask one person unfamiliar with the plan to read a card and list what remains unclear.
Useful interaction pattern:
Create one volunteer role card for each verified role. Include: arrival time, first location, responsibilities in time order, materials needed, handoff points, finish condition, and when to contact the event lead. Use only assignments in the run sheet. Do not invent authority to approve refunds, change the schedule, make safety decisions, speak for the venue, or handle personal attendee information. Mark anything missing as ASK EVENT LEAD.
Time and cost: About 10 minutes. Plain text generation is enough.
Privacy and accuracy limits: A role card should reduce uncertainty, not grant authority that the volunteer never had. Never ask AI to decide whether an inexperienced volunteer can handle security, safeguarding, medical, electrical, crowd-control, or other safety-sensitive responsibilities. Follow the venue's and organizer's real procedures.
3. Build an attendee FAQ with a visible “we need to check” path
Outcome: A short FAQ for recurring questions, plus a clear rule for what staff should not answer from memory.
Best fit: Events where volunteers repeatedly get questions about arrival, timing, transport, accessibility, tickets, food, photography, refunds, or what to bring.
Inputs and tools: The public event page, venue's public access information, approved ticket/refund rules, and the verified run sheet.

- Write the 10 questions attendees are most likely to ask.
- Ask the AI to answer only from public or approved event sources.
- Require a source for each factual answer.
- Mark unsupported questions
CHECK WITH ORGANIZER. - Separate information from policy: "doors open at 18:00" is different from "late arrivals will always be admitted."
- Review accessibility, dietary, age, ticketing, refund, photography, and safeguarding wording especially carefully.
Useful interaction pattern:
Create an attendee FAQ using only these approved sources. For each question give: a short answer, source, any condition or exception explicitly stated, and status VERIFIED or CHECK WITH ORGANIZER. Do not infer accessibility arrangements, dietary safety, refund eligibility, age restrictions, parking availability, late-entry rules, or photography consent if the source does not state them.
Time and cost: About 10 minutes. NotebookLM standard access is a low-cost source-grounded option; a normal browser plus pasted verified text also works.
Privacy, accuracy, and copyright limits: A source-linked answer can still be misunderstood. Confirm high-impact details directly with the venue or responsible organizer. Do not give medical, legal, safeguarding, or emergency advice from an AI-generated FAQ.
4. Prepare a day-of communication kit without writing messages from scratch under pressure
Outcome: A small set of pre-approved message templates for normal updates, delays, room changes, volunteer escalation, and post-event follow-up.
Best fit: Organizers who expect to communicate through email, a group chat, event platform, social account, or venue display during the event.
Inputs and tools: The verified event facts, approved communication channels, and the names or roles authorised to publish changes.
Steps
- Create templates only for situations you can reasonably anticipate.
- Use placeholders such as
[NEW START TIME],[ROOM], or[OFFICIAL CONTACT]rather than inserting unverified details. - Put a

Using only the verified event facts, draft reusable templates for: a normal welcome reminder, a minor delay, a room change, a volunteer escalation message, and a post-event thank-you. Put VERIFY BEFORE SENDING at the top of every operational template and use placeholders for changed facts. Do not draft emergency instructions, legal statements, safety assurances, refunds, compensation promises, or blame statements. For those cases, write ESCALATE TO EVENT LEAD.
Time and cost: About 8 minutes. A free text chat is enough once the facts are verified.
Privacy, accuracy, and copyright limits: Templates go stale the moment a fact changes. Treat them as shells, not auto-send messages. Do not paste private attendee details into the AI just to personalize a broadcast.

The value is not having more documents. It is making sure every document points back to the same verified facts.
A free or low-cost route
You do not need event-management software to test this workflow.
- ChatGPT Free: OpenAI currently lists web search, file uploads, and data analysis among Free-tier capabilities, subject to separate usage limits. Plain pasted text is enough for the basic workflow.
- ChatGPT Projects: available across free and paid plans; useful when the event has a small set of files and instructions you want to keep together. OpenAI currently documents a lower per-project file limit for Free than for paid plans.
- NotebookLM standard access: Google currently lists up to 50 sources per notebook and 50 chat queries per day, and supports common source types such as PDFs, Word files, text, web URLs, and pasted text.
- Spreadsheet + shared document: still the simplest fallback. Use AI only to structure verified information, then store the final operational documents in the tools your volunteers already know.
Run one contradiction check before the event
A final 5-minute check can catch the most embarrassing errors:
Compare the master run sheet, public event page, volunteer role cards, and attendee FAQ. List every conflicting time, location, role owner, policy statement, or contact detail. Do not resolve conflicts by choosing the value that appears most often. Show the source for each version and mark the item HUMAN DECISION REQUIRED.
This is especially useful when the plan has been edited by several people. AI is often better at finding inconsistencies than deciding which version is authoritative.
Five things AI should never invent for the event
- opening, closing, setup, or delivery times;
- accessibility, dietary, refund, ticket, or entry promises;
- emergency, safeguarding, medical, security, or evacuation procedures;
- a person's responsibility or authority when it was never assigned;
- a public explanation for an incident that the event lead has not approved.
NOT CONFIRMED, CHECK WITH ORGANIZER, and HUMAN DECISION REQUIRED are useful operational statuses. They are safer than a complete-looking plan filled with guesses.
